Send manager training reports

Email each manager a scheduled report of the training their direct reports still owe, with a PDF attached, and choose who receives it.

Manager reports put training follow-up in the hands of the people who can act on it. On the schedule you pick, each manager gets a short email with a PDF attached that lists which of their direct reports still have training to finish. Managers don't need a Hook login to read it.

Manager reports are off until you turn them on. You need the org admin role, or MSP admin access to the organization.

What managers receive

The email shows the team's headline counts and the most urgent names, and says the full report is attached. The PDF has four parts:

  • Team summary: how many direct reports the manager has, how many assignments are incomplete or overdue, the team's completion rate, and the change since that manager's previous report. A manager's first report shows no change figure.
  • People to follow up with: each person's incomplete training, grouped as Overdue, Due soon, Not yet due, and No due date, most urgent first. Due soon means due before the next scheduled report, so the window is longer on a monthly schedule than a weekly one. A failed attempt that is past its due date counts as overdue.
  • By course: the same incomplete training, grouped by course.
  • Recent completions: direct reports who finished training since the manager's previous report.

Reports cover incomplete training from Hook courses for active people only. Training still delivered through your previous system isn't included, and reports never include phishing simulation results. The numbers match what you see in Hook's training reports.

Reports carry your MSP's branding when your organization is managed by an MSP that has set it up, and Hook's branding otherwise.

Who counts as a manager

A manager is anyone named in the manager field of at least one active person in your organization. That field comes from your directory, through Microsoft Entra or Google Workspace sync, or from the Manager column in a CSV import.

  • A report covers direct reports only. A director sees their own direct reports, not everyone below them.
  • A manager doesn't have to be a learner in Hook. A director who takes no training still gets a report for their team. When the manager isn't a person in Hook, the roster shows their email and the report opens with a neutral greeting.
  • Manager values that aren't valid email addresses are ignored, and the roster says how many there are.

When a manager's team owes no training on a send day, that manager gets no email for that send.

Turn on manager reports

Open the settings

Go to Settings, then Training reminders, and scroll to Manager reports.

Review the roster

The Managers card lists every manager with their direct reports, how many incomplete assignments their team has, and a status: Will receive, Excluded, or Needs approval. Use Search managers and the status filter to find someone. Exclude anyone who shouldn't receive reports, and approve any outside managers you trust (see below).

Preview a report

Click Preview on a manager's row to see the exact email and PDF they would get if the report went out now. Click Send test to me to send that email and PDF to your own inbox, marked as a test. You can send up to 10 tests an hour.

Set the contact and schedule

Enter a Manager report contact. This is required. Replies and questions from managers go to this address, so use one that someone at your organization reads. Then pick How often: Weekly, Every two weeks, or Monthly.

Turn it on

Switch on Send manager reports. Hook confirms how many managers will receive the next report and when. Click Turn on.

When reports are sent

Reports go out on Mondays, at the send time and time zone set under Delivery time in the same settings page. Changing the delivery time moves learner reminders and manager reports together.

  • Weekly: every Monday.
  • Every two weeks: every other Monday, counted from the first report.
  • Monthly: the first Monday of each month.

The first report goes out on the next Monday that matches your schedule after you turn reports on or change how often they're sent. The Next report line shows the exact date and time. Hook doesn't send reports for Mondays that have already passed.

Managers outside your organization

A manager whose email domain isn't one of your organization's domains shows Needs approval and gets nothing until you click Approve. Your organization's domains are the ones you've authorized. Personal email domains never count. That covers addresses at a staffing agency or partner, such as pat@northwind-staffing.test, and personal addresses such as one at gmail.com. Subdomains count separately, so dana@eu.acme.test needs approval unless eu.acme.test is authorized too. To add a domain your organization owns, see Authorize recipient domains.

Exclude or include a manager

Click Exclude on a manager's row to stop their reports, and Include to start them again. Exclusions and approvals stay in place through every directory sync and CSV import. An excluded manager's direct reports don't appear in anyone else's report. An outside manager you exclude and then include goes back to Needs approval, so approve them again if they should still receive reports.

New managers who appear later, from your directory or an import, start as Will receive, or as Needs approval when they're outside your organization's domains.

Questions and opting out

Reports have no unsubscribe link. The footer explains that your organization sends the report because your directory names the recipient as these people's manager, and points questions to your manager report contact. A manager who wants to stop receiving reports, or who sees someone who isn't on their team, asks that contact. To stop their reports, exclude them. To fix who reports to whom, correct the manager in your directory or CSV.

Report history

The Report history card lists every report and test send, newest first, with when it was sent, the manager, and the incomplete count it covered. The Outcome column shows what happened:

  • Delivered: the manager's mail server accepted it.
  • Delivered, marked as spam: it arrived, and the manager marked it as spam.
  • Bounced: the manager's mail server rejected it.
  • Failed: Hook couldn't send it.
  • Sent: Hook sent it and is waiting to hear whether it was delivered.
  • Delivery unknown: Hook can't confirm whether it went out. Hook doesn't resend it, so the manager never gets a duplicate.

Test sends carry a Test badge.

Bounce warnings

When a manager's most recent report bounced or was marked as spam, their row on the roster shows a warning. Hook keeps sending to them on schedule. Check the address in your directory, or exclude the manager. Test sends never cause a warning.
