Import users with CSV
Add learners and campaign target groups without connecting a directory.
Use CSV import when your organization is not syncing users from Microsoft Entra or Google Workspace, or when you prefer to manage learners directly in Hook. CSV import creates or updates Hook learners, creates manual groups, adds memberships, and prepares learners for simulations and training the same way directory sync does.
CSV columns
The importer accepts Email, First Name, Last Name, and Group. Email and Group are required.
Import a CSV
Open Users & Groups
From the org portal, go to Users & Groups.
Download the template
Click Import CSV, then Template. Keep the header row and add one learner membership per row.
Preview the file
Upload the CSV and click Preview. Hook shows how many rows, users, groups, and blocked rows it found before anything is saved.
Resolve blocked rows
Fix any rows marked blocked. Directory-managed and system-managed group names cannot be reused by CSV import; use a manual group name instead.
Authorize recipient domains
If the file includes a domain Hook has not certified for simulations, Hook asks you to authorize it before importing. Only authorize domains your organization owns or is permitted to use.
Personal, shared, and Microsoft tenant domains (for example @gmail.com
or @contoso.onmicrosoft.com) can never be certified. Those learners are
still imported, but they cannot be sent simulations or training.
Import
Click Import. Hook creates or updates learners, assigns manual groups, and makes eligible learners available for simulations and training.
Add one user manually
Use Add user on Users & Groups for small changes. Enter the learner's email, optional name fields, and one or more groups. The same domain authorization and readiness checks run before the user is saved.
What happens after import
After import, the user table shows each learner's readiness:
- Synced means the learner is ready to receive simulations and training.
- Pending means the email domain is still waiting on authorization.
- Not eligible means the email uses a personal, shared, or Microsoft tenant domain, which can never be sent simulations or training.
- Blocked means the email domain was rejected and needs attention.
- Waiting to sync means Hook saved the learner and has not synced them yet.
- Sync issue means Hook saved the learner but the sync did not complete.
Rows saved in Hook are not removed from your CSV automatically. Future imports are add/update only: re-importing the same email and group does not create duplicates.
